1.1 Overview and scope

This privacy policy explains how [confirm: legal entity name] ("Geeqers," "we," "us," or "our") collects, uses, and discloses personal information through this website, including the role-brief form for employers and the CV registration form for candidates.

Geeqers is a pharmaceutical, biotech and medical-device recruitment agency operating in the United States. This policy is written for a US audience and covers US law, including the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA"). It doesn't describe rights under the EU General Data Protection Regulation or any other non-US law.

Geeqers' services are directed at employers and candidates in the United States. This site doesn't ask where you're located, and nothing stops someone outside the United States from submitting a form. If you do, we process your information in the United States under this policy. Submitting information from outside the United States doesn't create rights under a non-US law.

1.2 Information we collect

We collect the information you provide directly through the two forms on this site, plus limited technical information collected automatically. This site has no accounts or logins, so we only hold what you submit through a form.

Information employers provide

When you submit a role brief, we collect:

  • Role title, function, location, seniority level, and urgency
  • Number of hires, and salary band if you provide one
  • Company name
  • Your name, work email, and phone number if you provide one
  • Any notes you add about the role

Information candidates provide

When you register your interest, we collect:

  • Name, email, and phone number if you provide one
  • Current job title, role family, and location
  • Whether you're authorized to work in the United States
  • Your CV or resume file
  • Your LinkedIn URL, if you provide one

Your CV or resume

A CV is different from the rest of the form. It's a document you write yourself, and it can contain far more personal information than the fields above ask for, such as your full work and education history, dates, certifications, and anything else you choose to include. We collect and store your CV as you upload it, in the format you submit it.

We accept PDF, DOC, and DOCX files up to 2 MB. We don't ask you to remove any particular kind of information from your CV before uploading it, so only include what you're comfortable sharing with a recruiter and, later, a prospective employer.

Information we collect automatically

This site doesn't use cookies for analytics, advertising, or tracking, and doesn't currently integrate any third-party analytics or advertising tool. Standard web and hosting infrastructure may log basic technical information, such as IP address, browser type, and pages requested, purely as part of delivering the site, the same as almost any website. We don't use this information to build a profile of you or to track you across other sites. If that changes, we'll update this policy first.

1.3 How we use your information

We use the information above to run our recruitment business:

  • To review and respond to a role brief, and to source and screen candidates against it
  • To review a candidate registration and CV against current and future role briefs
  • To contact you, whether you're an employer or a candidate, about a brief, a registration, a potential match, or your use of this site
  • To share relevant role details, such as the role, responsibilities, and hiring company, with candidates we're considering for that specific role
  • To keep internal records of briefs, registrations, and placements
  • To maintain the security of this site and to detect and prevent fraud or abuse
  • To comply with our legal obligations

We don't use your information to serve you advertising, and we don't use it to make a fully automated decision about you without human involvement.

1.4 How we share your information

Sharing candidate information with employer clients is the core of what a recruitment agency does, so we're explicit about exactly what we share, with whom, and when.

We don't sell your personal information, and we haven't sold it in the past 12 months.

With employer clients, if you're a candidate

We review your registration and CV against incoming employer briefs. When we think you may be a fit for a specific role, we contact you about that opportunity first. We only share your CV and profile details with the employer client after you've told us you want to be considered for that specific role. That matches what we tell candidates on this site: we never share your details with an employer without your say-so.

We don't publish a public candidate profile or job board, and we don't make your CV searchable or visible to employer clients outside this one-at-a-time matching process.

Once we share your information with an employer client for a role you've agreed to be considered for, that employer handles it under its own hiring practices as part of its hiring process for that role.

With service providers

We use service providers to help us run this site and our recruitment process, for example to host the website, to receive form submissions by email, or, once selected, to run a candidate or applicant-tracking system. As of this policy's effective date we haven't yet chosen all of these vendors. [confirm: service providers]

Any service provider we use is only permitted to use your information to provide services to us, not for its own purposes.

For legal, safety, and business reasons

We may also disclose information to comply with a law, regulation, subpoena, or other legal process; to protect the rights, property, or safety of Geeqers, our clients, candidates, or others; or as part of a merger, acquisition, financing, or sale of some or all of our business, in which case personal information may be one of the transferred assets.

1.5 Data retention and deletion

We keep role-brief and candidate registration and CV information for as long as reasonably necessary to provide our recruitment services, including considering a candidate for future roles that may fit, or as required by law. [confirm: retention period]

You can ask us to delete your information at any time (see Your privacy rights below). Once we receive and verify a deletion request, we delete or de-identify your information, except where we're required or permitted by law to keep it, for example to resolve a dispute or enforce our agreements.

1.6 Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information from loss, misuse, and unauthorized access. No method of storage or transmission over the internet is 100% secure, so we can't guarantee absolute security.

1.7 Your privacy rights

You have rights over the personal information we hold about you. California residents have additional rights under state law, set out below.

For everyone

Wherever you live, you can ask us to tell you what personal information we hold about you, correct it, or delete it, by contacting us using the details below.

Additional rights for California residents (CCPA/CPRA)

If you're a California resident, California law gives you the following rights over the personal information we collect about you:

  • Right to know what personal information we've collected, used, and disclosed about you, and why
  • Right to delete personal information we've collected from you, subject to certain exceptions
  • Right to correct inaccurate personal information we hold about you
  • Right to opt out of the sale or sharing of your personal information
  • Right to non-discrimination for exercising any of these rights

We don't sell or share personal information as those terms are defined under the CCPA/CPRA, and we haven't done so in the past 12 months, so there's currently nothing to opt out of. If that ever changes, we'll update this policy and provide a way to opt out first.

You may designate an authorized agent to make a request on your behalf. We may ask for proof of that authorization, and for you to verify your own identity directly.

How to exercise your rights

To exercise any of these rights, contact us at privacy@geeqers.com. We may need to verify your identity, typically by confirming details you already gave us such as your email address, before acting on a request. We'll respond to a verifiable California request within the time required by law: 45 days, extendable once by an additional 45 days when reasonably necessary, with notice to you.

1.8 Children's privacy

This site and Geeqers' services are intended for working professionals and business contacts, not children. We don't knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we'll delete it.

1.9 Changes to this policy

We may update this policy as our practices change. We'll post any update here with a new effective date, and we encourage you to check back from time to time.
