1.1 Who this notice is for
This notice is for you if you've registered your interest with Geeqers as a candidate, or you're thinking about it. It explains what we collect when you register and send us your CV, why we collect it, who sees it, how long we keep it, and the rights you have over it.
The business responsible for your information is [confirm: legal entity name] ("Geeqers," "we" or "us"). This notice sits alongside our privacy policy, which covers everyone who uses this site, and describes the same practices from your side.
We recruit for pharmaceutical, biotech and medical-device employers in the United States, and this notice is written under US law. You need to be 18 or over to register.
Effective date: [confirm: effective date].
1.2 What we collect
When you register your interest, we ask for:
- Your name and email address, and your phone number if you'd like to give it
- Your current job title, role family and location
- Whether you're authorized to work in the United States, as a yes or no answer
- Your CV, as a PDF, DOC or DOCX file up to 2 MB
- Your LinkedIn URL, if you'd like to give it
Your CV
Your CV is the part you write yourself, so it often says far more than the form asks for, like your full work and education history, dates, certifications and anything else you've chosen to include. We keep it exactly as you upload it. We don't ask you to take anything out, so only include what you're happy for a recruiter, and later an employer, to read.
What you tell us when we speak
We speak to every candidate ourselves before an employer sees their name. When we talk to you about a role, we note what you tell us about your experience, such as the submissions, audits or quality systems you've worked on, so we can explain to the employer why you fit.
What the site records on its own
Like almost any website, ours may log basic technical details when you visit, such as your IP address and browser type, purely to deliver the site. We don't use cookies to track you or to show you ads. Our privacy policy has the details.
1.3 Why we collect it
We use what you give us to find you a role that fits, and to run our recruitment business around that. In practice, we use it to:
- Compare your experience with employer briefs as they come in, including roles that open after you register
- Contact you about your registration, and about a role that looks right for you
- Tell you about a specific role, including the hiring company, when we're considering you for it
- Put you forward to an employer for a specific role, once you've said yes
- Keep records of registrations and placements
- Keep this site secure and meet our legal obligations
We don't use your details to show you advertising. We don't let software make decisions about you on its own; a person is always involved.
We don't send newsletters or digests. When we get in touch about a role, it's because a live brief fits your experience.
1.4 Who sees your details
Your details stay with us until you say otherwise. We don't sell your personal information, and we haven't sold it in the past 12 months.
An employer, only with your say-so
We never share your details with an employer without your say-so. When a role looks right, we tell you about it first, including who the employer is. Only after you've said you want to be considered for that specific role do we send your CV to that employer, with a short written note from us on why you fit.
We don't publish your CV, put it on a board or make it searchable. No employer can browse the people registered with us, and we don't tell any employer that you've registered, including your current one.
Once an employer has your CV for a role you've agreed to, they handle it under their own hiring practices.
Companies that help us run things
We use service providers to host this site, to receive form submissions by email and, once we've chosen one, to run an applicant-tracking system. They may only use your details to provide services to us, never for their own purposes. [confirm: service providers]
When the law requires it, or if the business changes hands
We may disclose information to comply with a law, regulation, subpoena or other legal process, to protect the rights, property or safety of Geeqers, our clients, candidates or others, or as part of a merger, acquisition, financing or sale of some or all of our business.
1.5 How long we keep it
We keep your registration, your CV and our notes for as long as we reasonably need them to find you a role, including roles that open after you register, or for as long as the law requires. [confirm: retention period]
You can ask us to delete your details at any time. Once we've checked the request came from you, we delete or de-identify what we hold, unless the law requires or allows us to keep something, for example to resolve a dispute.
If you'd rather we stopped contacting you about roles, ask us to delete your registration.
1.6 Keeping it safe
We use reasonable administrative, technical and physical safeguards to protect your details from loss, misuse and unauthorized access. No way of storing or sending information over the internet is completely secure, so we can't promise absolute security.
1.7 Your rights
Wherever you live, you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it.
If you live in California, the CCPA (as amended by the CPRA) also gives you the right to know what we've collected, used and disclosed about you and why, to delete it (with some exceptions), to correct it, to opt out of its sale or sharing, and not to be treated differently for using any of these rights. We don't sell or share personal information as that law defines those terms, so today there's nothing to opt out of.
Some other states have their own privacy laws. [confirm: whether any other state's privacy law gives candidates further rights, and which]
To use any of these rights, email us at privacy@geeqers.com. We may need to check it's really you first, usually by confirming details you've already given us, like your email address. Someone else can make a request for you, and we may ask for proof that you've authorized them. We answer a California request within 45 days. If we reasonably need longer, we'll tell you, and take up to 45 days more.
1.8 Changes to this notice
If our practices change, we'll update this notice and post it here with a new effective date.
